Position Description

Position Summary

New River Electrical is looking for a professional, reliable and detail-oriented Office Administrative Assistant to provide office management and administrative support services for the corporate office located in downtown Roanoke. As the Office Administrative Assistant, you will greet, assist and provide direction and information to customers, visitors and other guests of New River Electrical. In addition to these duties, this position will also perform office management and administrative tasks to ensure the smooth operation of this office. This position will report to the Executive Administrative Assistant.

Duties/Responsibilities

  1. Greet customers, visitors, and guests in a professional and friendly manner.
  2. Determine the purpose of each persons visit and direct or escort him or her to the appropriate location and provide basic information and assistance to him or her as needed.
  3. Maintain and update records of visitor logs and issue/collect visitor security badges upon entry and exit.
  4. Answer, screen, and direct phone calls promptly and efficiently; record and deliver messages.
  5. Manage and maintain the office, ensuring it is tidy and presentable, and in good working order.
  6. Manage incoming and outgoing mail, packages, and deliveries.
  7. Perform clerical and administrative tasks, such as basic e-filing/recordkeeping, data entry, document preparation, creation, and editing, and photocopying.
  8. Provide executive administrative support to C-suite and V-suite leadership, as needed.
  9. Assist various departments with data entry and administrative tasks in Word, Excel, PowerPoint and Outlook.
  10. Track, order and maintain office supplies (including kitchen supplies in the kitchenettes and beverage refrigerators), ensuring inventory is stocked.
  11. Maintain the corporate office plants.
  12. Assist with scheduling appointments and meetings.
  13. Assist with event planning and coordination.
  14. Coordinate with the Landlord, building management, and IT on security and facility issues.
  15. Perform other duties as assigned or required.

Position Requirements

Qualifications

  1. High School diploma or equivalent.
  2. 1 to 3 years of experience working in a customer service or administrative role.
  3. Excellent verbal and written communication skills.
  4. Strong organizational and multitasking abilities.
  5. Excellent customer service skills.
  6. Basic understanding of administrative and clerical procedures and systems.
  7. Demonstrated proficiency in MS Office, including Word, PowerPoint, Outlook and Excel.
  8. Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external professionals.
  9. Resourceful team-player, yet with the ability to effectively work independently.
  10. Friendly and professional demeanor.
  11. Detail-oriented and strong problem-solving skills.
  12. High level of integrity and discretion in handling sensitive and confidential information.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to see, talk and hear. The employee is required to sit at a desk and work on a computer for prolonged periods of time and must be able to lift up to 25 pounds at a time.
